WaveResolutions LLC ("we," "us," or "our"), doing business as PracticePing, provides a patient engagement platform that medical practices use to communicate with their patients by SMS and email. This Privacy Policy describes what information we collect, how we use it, and how we protect it.

1. Information We Collect

From medical practices (our customers): practice name, contact name, business email, phone number, and address, provided when a practice signs up.
About patients, provided by their medical practice: patient first name, mobile phone number, email address, visit and appointment dates, and the patient's SMS consent status.
Messaging data: message delivery status, replies, and opt-out (STOP) and help (HELP) requests.

2. How We Use Information

To send patients of participating medical practices PracticePing text messages: requests for feedback after a visit, reminders to schedule a check-up when they are overdue, notices when a same-day appointment opens up, and replies to appointment requests the patient submitted online
To process opt-out and help requests and keep consent records up to date
To operate, secure, and improve the PracticePing platform
To respond to practice inquiries and support requests

3. SMS Messaging and Mobile Information

PracticePing sends text messages only to patients who have given their medical practice consent to receive them. Message frequency varies by practice (up to 5 messages per month). Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. See our SMS consent page for how consent is collected.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

4. How We Share Information

We do not sell personal information, and we do not share it for marketing or promotional purposes. We share information only:

With the medical practice the patient is a patient of
With service providers that deliver messages or host the platform for us (for example, our SMS carrier and email delivery provider), solely to perform those services and under confidentiality obligations — this never includes sharing SMS opt-in data or consent with third parties for their own purposes
When required by law

5. HIPAA

PracticePing acts as a Business Associate of the medical practices that use it. We protect patient information with administrative, technical, and physical safeguards, and we do not include diagnoses or treatment details in text messages.

6. Data Retention

We keep patient messaging data only as long as needed to provide the service, as agreed with each medical practice, and as required by law. Opt-out records are kept so that opted-out patients are never messaged again.

7. Your Choices

Patients can stop text messages at any time by replying STOP. To ask about or delete your information, contact your medical practice or email us.
